From capability statement to shortlist, on autopilot.

Helm does one job: it reads every open tender on the portals Helm covers and tells you, with reasons, which ones your business should chase. Here is exactly what happens under the hood.

1. Tell Helm what you do

Onboarding takes a few minutes. You give Helm your business basics, a capability statement in plain English (a couple of sentences is enough to start), and the contract sizes you actually want. No forms about ANZSIC codes, no procurement jargon. Helm reads your statement the way a buyer would and works out the vocabulary for you.

The more you add later, capability cards, past projects, preferred agencies, the sharper every score gets. Your profile is a living document, not a set-and-forget form.

2. Helm watches the portals so you do not have to

Eight portals refresh daily: AusTender, GrantConnect and the BuyICT digital marketplace federally, QTenders and QBuild eTender in Queensland, NT Tenders Online in the Territory, council tenders nationwide through VendorPanel, and Brisbane City Council's own listing pages. South Australian tenders come from SA Tenders and Contracts with Procurement SA's permission, taken from the portal's own export and refreshed by hand until its automated feed is allowed. New listings surface in Helm the day they go up. Cross-portal duplicates (the same job posted on two portals) are detected and merged so you never assess the same tender twice.

Every day: the portals are read, cross-portal duplicates are merged, every open tender is scored against your profile, and the digest and deadline reminders go out. What you add to your profile feeds the next day of scores.

3. Every tender gets an itemised score

This is the part we refuse to black-box. Every opportunity is scored 0 to 100 against your profile, and every point is accounted for: industry relevance, location, buyer history, contract size fit, set-aside eligibility. You can open any score and read exactly why it is what it is, and what would lift it.

  • Strong match (80+): shortlist material, worth real attention.
  • Worth a look (50 to 79): plausible fit with named gaps.
  • Unlikely (under 50): visible, but Helm tells you why not.

High scores have to earn it: a tender cannot score above 85 unless the published listing actually supports the claim. AI deep reads on paid tiers read the full tender listing against your profile and feed what they learn back into every future score.

Five accounted-for inputs make the 0 to 100 score. 80 and above is shortlist material, 50 to 79 is worth a look with named gaps, under 50 is visible with the reason. Nothing scores above 85 unless the published listing supports it.

4. Act before the deadline, not after it

Track anything into your watchlist and Helm handles the calendar: a daily email digest of new matches, deadline reminders at 7, 3 and 1 days, and a closing calendar on your dashboard. Exports go to CSV whenever you need the list somewhere else. When you are ready to respond, Helm links you straight to the source portal, where the official documents and lodgement live.

Need help writing the response itself? On paid tiers you can upload your copy of the tender documents and Helm extracts the compliance requirements, criteria and weightings into your workspace, quoted verbatim with page references. Tender Mate, Helm's drafting assistant, then writes sections in your voice from your company profile and those extracted requirements, and nothing else. Every plan states its monthly drafting allowance as a real number.
